They&#39;ll figure it out, but everything they&#39;re learning costs you in delays and rework. Procurement will be slower because they don&#39;t have the volume relationships yet. Site supervision will be thinner because they&#39;ve never had to run two crews on different floors at the same time. Approvals from building management will surprise them because they&#39;ve never coordinated with a 30-storey tower&#39;s ops team before.
The reverse is equally telling. A firm whose smallest recent project is 800 sqm and you&#39;re hiring them for 250 sqm is probably going to under-staff yours. The fee doesn&#39;t justify their senior PM&#39;s time, so you get a junior. The senior reviews drawings on Friday afternoons in between the projects that actually pay the rent.
The right fit is a firm where your project lands comfortably in the middle of their sweet range. Not their stretch ceiling, not their warm-up size.
<h2>Check the team-to-project ratio</h2>

A firm with 10 designers running 12 active projects is healthier than a firm with 6 designers running 15. Ask directly: how many active projects are you running right now, and how many people are on your team?
The math should work out to roughly one project lead per two to three concurrent projects, with two or three support staff per lead. If a firm has three people total and is currently running eight projects, your project becomes their ninth, and you&#39;ll feel it. Site visits will be skipped. Material approvals will lag. Drawings will come back late.
Ask who specifically would be assigned to your project before you sign anything. Get names. Ask how many other projects those exact people are on. A senior PM running four projects is at the limit. Five is overload, and yours will pay the price.

If the firm doesn&#39;t already have credit lines and trade accounts with suppliers at that volume, every order becomes a one-off negotiation. Lead times stretch. Cash flow gets tight, which means the firm starts asking you for earlier progress payments to cover materials.
When you&#39;re vetting capacity, ask: who are your main suppliers, what&#39;s your typical credit term with them, and how big was the last order you placed? Vague answers tell you the relationships aren&#39;t deep enough yet for your scale.

Ask whether they&#39;ve worked in your specific building or in similar grade-A office towers, malls, or hotels. Ask who handles the building management coordination on their team. If the answer is &quot;we figure it out,&quot; your project becomes the figuring out.

Larger projects mean larger upfront cash exposure for the firm. Materials get ordered weeks before progress payments arrive. Subcontractors need to be paid on their own schedules, not yours. A small firm running a project that&#39;s 40 percent of their annual revenue is one delayed payment from a real problem.
You won&#39;t get audited financials in the proposal, but you can ask softer versions: how many projects of this scale are you running concurrently, what&#39;s your typical payment schedule, and what&#39;s your retention policy? A firm with healthy capacity will offer balanced payment terms (20 percent upfront, milestone-based progress payments, 5 to 10 percent retention for the defect liability period). A firm asking for 50 percent upfront on a billion-rupiah project is telling you they need your cash to function. That&#39;s not a capacity problem you want to inherit.

None of this means you always want the bigger firm. For a straightforward project, like a 200 sqm office, a small clinic, or a cafe, a tight five-person studio often runs circles around a 30-person firm. The principal stays involved. How to Tell If a Design Firm Can Actually Handle Your Project Size

A proposal lands in your inbox. Forty pages, glossy renders, a bottom-line number, a two-page bill of quantities. You&#39;re a business owner, not a designer, and the document is asking you to sign off on something you don&#39;t fully speak the language of.
The good news is that you don&#39;t need to be a designer to read one of these. You need a checklist and the patience to ask boring questions. Most of the cost-cutting and ambiguity in a proposal is hiding in places that are obvious once you know to look. Here is how we&#39;d read a proposal if it were our money on the line.
<h2>Step 1: read the exclusions before you read the price</h2>
Open every proposal with the exclusions section. If there isn&#39;t one, that is your first answer. Ask for it in writing before you keep reading.
The most expensive items in a proposal are almost always the ones that aren&#39;t in it. Common things we see quietly left out: hacking and demolition, waste removal, building management coordination fees, hoarding for occupied buildings, after-hours work permits, touch-up of damaged adjacent areas, and the gap between &quot;supply and install&quot; versus &quot;installation only.&quot; A line that reads &quot;bathroom sink installation, Rp 1,000,000&quot; is labour. The sink, the marble counter, and the plumbing fittings are extra unless someone explicitly says otherwise.
Once you have the exclusions on paper, add the missing items back into the price mentally. A Rp 4 million per sqm proposal that excludes Rp 200 million of demolition and Rp 75 million of building management fees is not a Rp 4 million proposal. It&#39;s a Rp 4.7 million proposal with a marketing problem. <h2>Step 2: decode the material specifications</h2>

Walk every material line item looking for four things: grade, brand, thickness, and rating. A line that says &quot;18mm MR-grade MDF, Greenwood brand&quot; is real information. A line that just says &quot;MDF partition&quot; is not.
The grade is usually where the cost-cutting happens. MDF comes in standard, moisture-resistant, and fire-rated. Plywood comes in commercial and marine grade. Vinyl flooring comes with wear layers from 0.3mm to 0.7mm. Gypsum ceiling comes in standard and moisture-resistant. All of these read identically in a line item and cost 30 to 60 percent more for the better grade. Put the wrong grade near a pantry, bathroom, or anywhere humid in Jakarta and the material warps, swells, or grows fungus inside a year.
If a line doesn&#39;t specify the grade, write a one-line email asking the firm to confirm exactly what they&#39;re pricing. Ask in writing. The answer goes into the contract later. Firms that have nothing to hide will reply within a day with a clean specification. Firms that hedge or change the subject are telling you something useful.

<h2>Step 3: test whether the quantities are real</h2>

Materials are half the picture. Quantities are the other half, and they&#39;re easier to fudge.
Electrical scope is the worst offender. A line that reads &quot;electrical works, Rp 85,000,000&quot; tells you nothing about what you&#39;re actually getting. A 40-person office needs 80 to 120 power outlets and 40 to 80 data points just for the workstations, before you add printers, AV, pantry equipment, and dedicated circuits for server rooms or air conditioning. Two firms can both quote &quot;electrical works&quot; with a 100-point gap between them. The cheaper one is usually pricing fewer points, thinner cables, or both.
Light points deserve their own check. &quot;1 light point, Rp 200,000&quot; might be wiring only, with no LED panel, no connector, no bulb. Force every firm to spell out whether &quot;light point&quot; means wiring-only, supply-and-install, or full fixture. Get the answer in writing.
Run the same test on doors (count them, specify size and material), partitions (linear meters and height), floor area broken down by finish type, and joinery (every cabinet, counter, and built-in unit listed separately). When the quantities are vague, the proposal isn&#39;t priced. It&#39;s been estimated at the firm&#39;s discretion, which is not the same thing.

<h2>Step 4: read the commercial terms as carefully as the price</h2>
Once the scope and quantities are clear, the commercial terms tell you whether the firm is set up to deliver or just to win the contract.
Start with the defect liability period. A 12-month DLP is meaningfully better than a 3-month one, because anything that fails between months four and twelve is your problem if the DLP has already lapsed. Retention sits next to that. Standard practice in Jakarta is 5 percent held for the DLP duration as defect insurance. A firm that asks for zero retention is either very sure of itself or hoping you don&#39;t notice. A firm that wants 100 percent on handover is a no.
Then the payment schedule. Front-loaded schedules (50 percent upfront, 40 percent mid-project, 10 percent on handover) push almost all the risk onto you. A more balanced schedule (20 percent upfront, progress payments tied to completed milestones, 5 to 10 percent retention) tells you the firm has enough cashflow to wait for actual performance. Cashflow problems show up early in payment terms.
Timeline is where salespeople tend to lie. A six-week schedule for a 400 sqm office fit-out is fantasy. Realistic commercial timelines run six to twelve months from design kickoff. Aggressive timelines almost always mean cut corners, missed deadlines, or both. Last, look at the variation order process. Every project has changes. The question is whether changes get priced and signed before work happens, or invoiced after the fact at whatever number the contractor decides on.
<h2>Step 5: ask whether the design works for your business</h2>
The last question is the one most owners forget to ask, because it&#39;s the hardest to test from a document. Does the proposal describe a space that works for how your business actually operates?
Look at the floor plan with operations in mind, not aesthetics. If you run a restaurant, walk through the customer flow on paper and ask whether two people can pass each other in the corridor without bumping. If you run an office, count whether the meeting rooms add up to the number of teams who&#39;ll need to book them on a Tuesday morning. CNI BreakOuts Podcast 2025

Few days back at the 2025 Festival of Digital Innovation (FDI), I had the chance to share thoughts on a topic that’s been echoing across the design and tech industries: Design in the Age of AI – Threat, Tool, or Transformative Ally? As both Founder/MD of <a href="https://www.linkedin.com/company/interiologic/">Interiologic</a> and Regional MD of <a href="https://www.linkedin.com/company/i-amglobal/">I-AM</a> , this subject sits close to my everyday reality—where technology meets human-centered design.My aim was simple: to shift the conversation from fear to foresight. AI isn&#39;t here to replace us—it’s here to refine how we work, think, and create. As designers, we need to move beyond the binary of man vs. machine and start seeing AI as a partner that augments our craft. One idea I shared, inspired by my mentor <a href="https://www.linkedin.com/in/tze-boon-ong-64600732/">Tze Boon Ong</a> , was this: &quot;Humans are shifting their ideals in the design industry—from being Creators to becoming Curators.&quot; This evolution doesn&#39;t diminish our role; it redefines it, with more room for strategic vision, empathy, and intentional storytelling.Happy to see the discussion spark real interest among professionals, students, and industry leaders alike—because the future of design depends not on resisting change, but in choosing how we shape it. Kawan Lama Sharing Event 2024

Celebrating a New Beginning Transforming an Orphanage into a Brighter HomeToday, we are overjoyed to celebrate the successful completion of our charity project—renovating an orphanage to create a better, more nurturing home for the children who live there. Led by <a href="https://www.linkedin.com/company/interiologic/">Interiologic</a>, a design and build company, and supported by our main co-sponsor, <a href="https://www.linkedin.com/company/informa-furnishing/">INFORMA Furnishing</a>, this initiative was a heartfelt collaboration to bring hope and happiness to the 40 children of Panti Asuhan Calvary, Bekasi. A heartwarming celebration indeed, as the completion of this project was marked by a beautiful and touching ceremony, where we were welcomed with open arms by the orphanage’s management team and children. Their heartfelt performances and warm greetings left a lasting impact on all of us. We shared songs, prayers, and moments of gratitude, led by the orphanage’s reverend, making the day an unforgettable experience. A Special Musical Surprise! Adding to the joy of the occasion, we were honored by the presence of <a href="https://www.linkedin.com/in/hiroaki-kato-244b0a139/">Hiroaki Kato</a>, a renowned actor and singer, who delighted everyone with his music. His bilingual Japanese-Indonesian rendition of “Mungkin Nanti” (originally by Ariel Noah) and the all-time favorite “Laskar Pelangi” (by Nidji) had the children singing along with excitement. This special moment was followed by a meet-and-greet session, where the children got the chance to take photos with the humble and talented artist. To further brighten the celebration, our young guests were treated to delicious milk tea and snacks, generously provided by <a href="https://www.linkedin.com/company/chatime/">Chatime</a> and <a href="https://www.linkedin.com/company/cupbop/">Cupbop</a>. The smiles on the children’s faces were priceless, making the event even more memorable. Representatives from Interiologic and Informa, alongside the orphanage’s management team, came together to share in the joy of this meaningful day. Gratitude to Our Supporters! Also explored - Cultural &amp; Heritage Influence – The importance of preserving Indonesia’s vast and diverse cultural heritage in modern hotel design, ensuring that each region&#39;s unique identity is reflected in its architectural and interior aesthetics. Indonesia, with its incredible diversity of cultures, traditions, and landscapes, provides a unique canvas for the future of hospitality design. It was a privilege to discuss how the industry can strike the right balance between innovation, sustainability, and cultural authenticity—ensuring that hotels not only meet the demands of modern travelers but also contribute positively to their surroundings. With over 18 years of experience in the interior design &amp; build industry, it&#39;s been an incredible journey uncovering the logic and pitfalls within this dynamic field.
The heart of every retail business lies in its physical presence – the store. It&#39;s more than just four walls; it&#39;s an immersive brand experience. Our topic, &quot;The Logic and Pitfalls in Retail Store Design,&quot; allowed us to explore the intricacies of creating spaces that resonate with customers and drive sales.
One of the common challenges we identified in the Indonesian retail store design arena is finding the right balance between aesthetics and functionality. It&#39;s not just about making a store look good; it&#39;s about ensuring that every design element serves a purpose, enhancing the shopping experience.
